Central Government awards Capital ID European tender for publications tool

Automation of the labour market communications process for all Ministries. DTP is phased out.

Following a European tender, the Central Government has awarded Capital ID from Zwolle the order for a Publication tool to automate processes related to Labour Market communication. The ID manager software from Capital ID will be used. ID manager is a standard web-based software product for the automation of marketing communications processes. The ID manager software is now operational for the Central Government.

Using ID manager from Capital Software, marketing activities can be controlled and managed from start to finish. This delivers significant benefits to the organisation. For instance, there is better command and control of the marketing activities, materials can be produced more efficiently and the internal organisation is offered the maximum level of support.

The implementation and use of ID manager, which will soon be used by all ministries, will enable Central Government to realise substantial savings and benefits.

  • Shortening of the time taken for request and search-times for all materials, images etc. The product makes searching, finding and retrieving simpler and, therefore, saves time.
  • Savings on external traffic management and distribution costs. Internal application and creation of correct (campaign) announcements makes a lot of changes (dtp) and conversion work unnecessary (for example, the generation of PDF files).
  • More effective use is made of previously developed and available campaign materials, corporate identity materials or 'brand assets'.
  • More control of purchasing, internal cross charging of use, purchase volume discounts etc. Making items re-orderable contributes to re-use of previously created publications and increases control on usage and insight into costs.
  • Savings on the internal and external process costs for applications for and creation of campaign announcements adverts etc. The automated workflow delivers a significant reduction and time-saving in the process involved in approval of the proofs, authorisation of the order and processing of the purchase order. External users are supplied with the correct materials quickly and correctly which reduces costs involved when errors are made and saves time.
  • Simple management and maintenance, both on the technical side, as well as structure and content.
  • Cost reduction in implementation, storage and distribution of new designs.
  • Reduction of stock and print costs by utilising 'Printing on Demand'.
  • Reduction of printing costs for high quality items which are digitally produced by using 'Publishing on Demand'.
  • For coordination of all documents for all faculties, a central storage and overview is necessary for all faculties.
  • Management and maintenance of one application which can be used for a multitude of purposes makes other specialist applications obsolete and eliminates the costs involved in managing these. For example: instead of multiple image databases in different locations, there is now one central image database segmented according to faculty or publication.
  • Through internal systems management, an internal 'creation' environment using standard grids and the storage of all guidelines, materials and 'brand assets' in ID Manager, the independence on external bureaus is significantly reduced.
  • Because all knowledge is clearly stored and is managed and 'owned' by the organisation itself, the continuity both now and in the future is guaranteed. When personnel leave the company or the external bureau is changed, the information remains available.
  • All communication, aimed at the correct target group with the correct message and, particularly, the timing is becoming more and more crucial.
